Finally after struggling quite a bit I have come up with a (seemingly) decent method for getting/accessing record data from an API call in an HTML page.

I will post the code below and please provide any feedback for this method, I am still early using Quick base API calls. This method uses the option to return the record data as a 2-dimensional array that can be accessed with "qdb_data[x][x]" where the "x" is the index selector. You can easily check the number of returned records by looking at "qdb_data.length"

<head>
<script lang="javascript" src="[yourdomain]/db/
[yourtable]?a=API_GenResultsTable&query={'3'.EX.1}&jsa=1&apptoken=[yourtoken]">
</script>
<script>
function displayData(){
alert(qdb_data[0][5]);
}</script>
</head>

Curious about the security of having the API info and app token within the client-side code. Basically, I have a "Send for Approval" button on a form that automatically generates an email with the recipient, subject, and body filled in using "mailto:" and I put an "Approval" URL link in there that uses my authentication information to sign in and change three separate fields in the form then automatically logs out and redirects to the logged out page. So far, this is working, except, I don't want the link to show. I want either text that says, "Approve this job" or some image over it that has the hyperlink, and I would rather not use the email notification feature for this, considering I would like the "From" in the email be the user who clicked the button and we already use this button minus the "Approve" link in the email. The approver right now has to send a reply back saying it has been approved then the user has to go back into quickbase and change the three fields him/herself.

All of this was done in steps, so each part of what this "Send for Approval" button does has been done incrementally as I figured out how to do each thing. Rather than using the RecordID as the key field of the parent table I'm using a text field, so each box can be individually named.

Normally when I'm importing a set of child records into a relationship like this I'll first create boxes 1-10 in the parent table, then import the list into the child table, but is this first step necessary? The feedback from attendees is that they enjoyed learning about what makes Quick Base tick. With how successful it was, we have continued to expand on that content by sharing use cases, examples, and learnings in our blog and the Quick Base Community. Continuing to look for new opportunities to share that deeper insight, we thought it might be helpful to go through a thought exercise on a sample application as it relates to resource utilization.

To give some background, Quick Base is an in-memory database. This makes it unbelievably powerful – doing complex calculations on operational data in milliseconds. What this means is, rather than Quick Base having to talk to a hard disk to retrieve data like a traditional database, it reads and writes from/to RAM. Let’s use an analogy. On your computer, you might have a hard drive, with say 500gb, that has many programs, pictures, videos,etc. Now, if you decide to open a large program or intense game, it might take anywhere from 2 to 10 seconds for your computer to read all this information and process it. Now, once that application/game is in memory, you can generally minimize and restore it freely and quickly – in far less than a second. That is why Quick Base is so fast – it has all your application’s data in memory and can quickly recall it, including calculated data. This isn’t a perfect analogy when comparing the power of servers to personal computers– but the principle is still the same.

Let’s look at an example. These are some fake numbers and data structure for the sake of simplicity and to illustrate the scenario.

So, looking at the above, we can see the text entered into the “Notes” field is consuming about 100mb of data.

Side note: If we were looking to reduce how much data was taken on the Projects table, we could look at some tactics such as programmatically moving the notes data to a file attachment field.

Aside from that ~100mb of data consuming “storage”, we also will keep it in memory. Now, this is Quick Base – so there is a good chance the customer is going to use this field in some logic, lookups, summaries, formulas and reports down the line to get even more value out of it. With that end goal in mind let’s add a formula – text field that previews the first 100 characters in the field. This enables reports to have a field that shows a portion of the notes, without having the whole text there which might make the report unwieldy.

Now, this is where things get tricky. If we were to pull a report of all 50,000 records and included the “Notes Preview” field, roughly 7.5mb of memory would be used at face value. But for us to calculate the length and parse the characters, we need to read in the entire Notes data – at least temporarily.

What if we then pass in the “Notes” and the “Notes Preview” into a child table, called Tasks.

Side note: This is memory (RAM) usage, not app space. Therefore, it does not count towards any table size limits or your account limits. As well, while there are warnings and thresholds behind the scenes that our great operations group use to ensure application and platform stability, these are far higher than most of our customers will ever hear about, let alone be impacted by.

We are now talking potentially about 1gb of RAM used solely to handle these project notes – and this was a relatively simple example. It wouldn’t be uncommon in Quick Base for us to see these notes going through multiple relationships, used in many more formulas, summary fields and even permissions. For example, say you only wanted to grant permissions to a certain role when the notes contained a keyword. Quick Base lets you do that, orders of magnitude simpler than other technologies. You can see how much memory QuickBase will need to use to accomplish these requirements.

So why are we sharing all of this? We don’t want our app builders counting kilobytes or megabytes. That is overkill. What we think is important is that Quick Base is providing an unparalleled amount of flexibility and value with relatively little effort and without the deep technical understanding that other platforms or tools would require. But, with great power comes great responsibility. Adding these lookups, formulas and other complex calculations is extremely powerful. Understanding, at a very high level, what comes along with that can help builders make informed decisions during application design and development and can help during regular maintenance and clean-up.

Recommended Reading: https://community.quickbase.com/quickbase/topics/quick-base-makes-complex-logic-simple

article 3 3 3 comment http://m.getsatisfaction.com/topics/7834378 7834378 Automation to add one record to another table when something is triggered in another table 2018-12-28T14:51:57Z 2018-12-28T14:51:57Z Niraj Shah http://m.getsatisfaction.com/people/9891154 https://www.gravatar.com/avatar/0d520d29b925ff6995cd390704be3f84?d=identicon&s=55&r=PG niraj_shah_97af61yxibapg I have three tables: Purchase Orders, Cost Sheets, and Entries. Each entry is associated with a Cost Sheet, such that one cost sheet may have anywhere from 1 to infinite number of entries that may also belong to 1 to infinite number of vendors.
The challenge I am having is how to automatically generate a purchase order for each unique vendor when a cost sheet (and entries) are approved. Currently, the automation fails since the related vendor field is required to be unique, and once I remove that requirement, the automation runs but creates multiple purchase orders for the same vendor. question 0 1 1 create http://m.getsatisfaction.com/topics/7831907 7831907 Need help adding multiple children conditionally 2018-12-20T18:00:07Z 2018-12-20T12:43:54Z Michael Berlinger http://m.getsatisfaction.com/people/9651015 https://www.gravatar.com/avatar/94ad3eb2fd45a9a99e6be80f381459e8?d=identicon&s=55&r=PG michael_berlinger Hello. I currently have a setup where Requests < Tests. I have a 3rd Methods table which has 2 fields: "Test Name" and "Test Category".

In the Requests page, I would like people to input their sample information and select the "Test Category" from a drop-down. Based on this field, I am trying to limit the choices of their "Test Names" in the Tests table. I cannot figure out a way to allow them to enter multiple tests with the conditional implementation. I tried a few things already but nothing seems great.

Idea 1) I tried a grid-edit embedded report. I made an automation to generate 10 blank related Tests when a report is created but it takes a lot of steps: Create the Request, save, reload after automation, edit Record, select Test Name from dropdown on blank children, and save. This is obviously not ideal. I'm trying to get AJAX scrolling enabled which may help by only loading the embedded report after the automation has run.

Idea 2) The other idea I had was to create one connected table per Test Category and use dynamic form rules to bring up the correct Multi-Select Text field. Then when everything is saved run a looping automation to create the child records. This is pretty messy and requires a lot of overhead but is WAY more user friendly.

Can someone please let me know if there is a better way to accomplish this? question active 7 3 1 comment http://m.getsatisfaction.com/topics/7829794 7829794 Is there a way to update the previous record in same table? 2018-12-19T20:40:33Z 2018-12-14T20:55:32Z Gaurav Sharma http://m.getsatisfaction.com/people/8812569 https://d2r1vs3d9006ap.cloudfront.net/public/uploaded_images/11258990/GauravSharma_HS_medium.jpg sharma_gaurav Hi everyone,

Is there a way to modify the previous record in the same table?

I want to modify some fields of the previous record whenever we create a new record.

Any idea?

Thanks,
Gaurav question complete 8 4 1 comment http://m.getsatisfaction.com/topics/7828911 7828911 Need the total of one field to show as a value in another field 2018-12-13T16:21:46Z 2018-12-12T20:03:44Z Tyler Parker http://m.getsatisfaction.com/people/9611054 https://www.gravatar.com/avatar/43792c0add24635647e7b61a40a96df6?d=identicon&s=55&r=PG tyler_parker_es9d6qjxj9duk I'm trying to have the totals from the Hard Acceleration/Hard Braking/Speeding/Idling fields show up as the value in separate fields in the same table. I started with the Hard Acceleration Total field to illustrate. Can anyone help here?

The end goal is a weighted average formula.
